Tips for social media agency admins to grow, support their team, and make an impact—without losing track of the coffee!

Working in a social media agency is fast-paced, ever-changing, and—let’s be honest—occasionally chaotic in the best kind of way! As an admin assistant, it can feel like your job is to quietly keep the wheels turning behind the scenes. But here’s the thing: there’s a lot of opportunity to lean in, grow your skills, and become a real asset to the team (without having to become a TikTok star overnight).

This isn’t about adding more to your already full plate—it’s about noticing those small ways you can go beyond the basics and make a bigger impact. Whether it’s learning a new tool or stepping into a more strategic role, there’s plenty of room to evolve and be part of the bigger picture.

1. Learning the Tools of the Trade

You don’t have to become an expert overnight, but getting familiar with platforms like Meta Business Suite, Later, or Canva can go a long way. Even knowing how to pull a few analytics or clean up a content calendar can make life a whole lot easier for the folks around you.

These tools aren’t as scary as they seem (and honestly, YouTube is a treasure trove of how-to videos). Once you get your bearings, you might even start to enjoy the creative side of it. Or at least, you’ll understand what the social team is talking about when they say “carousel” and they don’t mean a county fair ride.

2. Helping with Content Planning & Scheduling

You don’t need to write the posts or design the graphics—but keeping things organized and on track? That’s where admin assistants shine. Think: labeling files correctly, updating project boards, or scheduling posts once they’re approved.

Little things like this help keep campaigns from turning into a hot mess (we’ve all been there), and it gives you an inside look into how content strategies actually come together. It’s also a great way to learn the flow of client work and timelines without being tossed straight into the deep end.

3. Being a Friendly, Reliable Client Touchpoint

Sometimes, clients just want to talk to a real person who understands what’s going on—and that can be you. Whether it’s sending over meeting reminders, following up on approvals, or helping answer a quick question, being responsive and kind goes a long way.

You’re not trying to take over anyone’s role—you’re just offering an extra bit of consistency in a world that moves fast. And trust me, clients remember the people who make things easier.

4. Spotting (and Suggesting) Better Ways to Work

Let’s face it, admins are often the ones who notice the “why are we still doing it this way?” moments. Maybe there’s a smarter way to track deliverables or a new system that could replace a million email threads.

If you see something that could be improved, say so! You don’t need to come with a full-blown proposal—just bring it up. A fresh set of eyes can be a gift in a space where everyone’s too busy to pause and rethink a process.

Once you start dabbling in all the little corners of the agency, you’ll probably find something you enjoy more than you expected.
